Fundraising Committees

Ticket Sales: Athena Burnett (chair), Bette Butler, Tracy Willson-Scott
  • Recruit 10-20 "big" ticket sellers. Meaning they will commit to sell 20 tickets each.
  • Touch bases with as many WVMS families/staff as you can to sell as many as they are comfortable with, usually these folks are in the 1-10 category.
  • Organize the front hall tickets sales table with at least two parents staffing it right before and after school.
  • Create an accounting system, collect money, and make deposits to C3. (Must be comfortable with large sums of money in your possession)
  • Create a tracking system of who tickets have been "checked out" to.
  • Assist with ticket printing.
  • Track scholarship tickets and distribute.
  • Track whole table purchases and reservations.
  • Pull sponsor tickets prior to distributing tickets for sale and calculate total tickets available for sale.
  • Update fundraising team on how many tickets have been sold = the amount of money in the bank.

Sponsorship: Faith Butsch (co-chair), Kelly Herman (co-chair), Cliff Williams, Noella Marsh
  • Recruit sponsor sales team.
  • Distribute sponsorship package brochure to sales people.
  • Make approaches to potential sponsors.
  • Follow-up as needed with contacted sponsors.
  • Get signed contracts from committed sponsors.
  • Track $'s generated from sponsorships.
  • Make deposits to C3.
  • Get/return sponsor banners for event night.
  • Assist with getting sponsor logos for advertising.
  • Make sure event tickets get to sponsors and table reservations are made.

Silent Auction: Kathy Leach (co-chair), Brenda Gessner (co-chair), Lisa Nye, Steve Roti
  • Recruit silent auction item gatherers.
  • Distribute auction donation forms.
  • Hound people to get items in as soon as possible.
  • Create and update master of a donated item list.
  • Package together smaller items into one.
  • Gather donated items (requires a safe corner somewhere in your house).
  • Make a bid sheet for each item donated.
  • Be sure some sort of catchy display is made for night of event if item will not actually be there. IE-Tandem Paragliding trip certificate.
  • Track if donator has requested a tax deduction letter, assist with letters being sent.
  • List of donations.
  • Layout items with bid sheets on tables night of event.
  • Assist with auction web page (digital camera recommended, but not necessary).
  • Manage volunteers that help with the silent auction

Hospitality: Ruth Haldeman (co-chair), Brenda Smith (co-chair)
  • Create attractive backstage artist area with food and beverages.
  • Hospitality baskets for hotel rooms.

Hotel Accomodations: Ruth Haldeman (chair)
  • Call hotels and request comp rooms for night of event.
  • Confirm reservations.

Decorating: Inez Hagen (chair), Gina Smith, Rebecca Easton, Nina Aguilar, Faith Butsch, Jen Reed
  • Plan and implement decorating of the vastly ugly Midtown Ballroom.
  • Create table centerpieces.

Thank You Cards and Notes: Tina Pavelic (co-chair), Lolli Gonzales (co-chair), Elizabeth Alexander
  • Responsible for getting out the 200 or more thank you notes to all the sponsors, auction donators, comp hotels and other miscellaneous wonderful people who help make this a successful event. Make sure they get out in a timely manner.

Set Up/Break Down: Jennifer Johnson (chair)
  • Coordinate all the volunteers with the C3 staff during set up and break down day of event.
  • Recruit volunteers.

Food Service: Janet Miick (chair), Leah Fine
  • Coordinate with C3's food service.
  • Work with Wendy, staff, and students to help serve at the event.
  • Liaison with food service.
